Bellmont&Co is a privately held strategic intermediary firm incorporated in Delaware, United States, with a transatlantic operational focus. Our Decision-Maker Database service helps business clients identify companies and relevant professional decision-makers using defined criteria, including industry, function, seniority, geography, organizational relevance, and commercial fit.

This Policy explains how Bellmont&Co obtains, verifies, manages, protects, and provides business information through the Decision-Maker Database service, as well as the conditions governing its use.

1. Scope of This Policy

This Policy applies to information processed in connection with:

  • The Decision-Maker Database service;
  • Bellmont&Co’s research, verification, and data-enrichment activities;
  • Requests for company and professional contact information;
  • Communications with prospects, suppliers, partners, and contacts;
  • Use of Bellmont&Co’s website and related service channels.

This Policy does not replace any separate written agreement, statement of work, data-processing agreement, or service order entered into between Bellmont&Co and a client. Where a signed agreement conflicts with this Policy, the signed agreement will prevail to the extent of that conflict.

2. Information We Obtain

Bellmont&Co compiles and maintains business intelligence intended for professional and commercial contexts. Depending on the assignment and availability of reliable sources, information may include:

Company information

  • Company name, legal or trading name, and website;
  • Industry, market segment, and business activity;
  • Company location, operating regions, and jurisdiction;
  • Company size, organizational structure, and public corporate information;
  • Publicly available product, service, capability, certification, or procurement information;
  • Business relationship indicators relevant to the client’s stated criteria.

Professional contact information

  • Name;
  • Professional title, function, department, or seniority;
  • Employer and business location;
  • Publicly available professional contact details, such as a business email address, business telephone number, or professional profile URL;
  • Information relating to a person’s business responsibilities, decision-making relevance, or publicly stated professional expertise.

› Important: Bellmont&Co does not intentionally collect sensitive personal information—such as health data, biometric data, religious beliefs, political opinions, trade-union membership, sexual orientation, financial-account data, government identification numbers, passwords, or private communications—for inclusion in the Decision-Maker Database.

3. How We Obtain and Verify Information

Bellmont&Co uses a research-led approach. We obtain and assess information from a combination of sources that may include:

  1. Publicly accessible online sources
    Company websites, press releases, news publications, official corporate registries, trade publications, tender portals, event materials, public filings, and other legitimate publicly available records.
  2. Professional and business platforms
    Platforms and directories that contain professional or organizational information, subject to the applicable platform terms, permissions, and legal requirements.
  3. Direct enquiries and individual communications
    Information voluntarily provided by companies, professionals, representatives, referrals, suppliers, or other business contacts through direct correspondence, calls, meetings, forms, or other legitimate business interactions.
  4. Client-provided information
    Information supplied by a client for purposes such as enrichment, validation, segmentation, or identifying relevant organizations and professional roles. Clients are responsible for ensuring that they have an appropriate legal basis to provide such information to Bellmont&Co.
  5. Research and verification activities
    Bellmont&Co may compare information from multiple sources, review public updates, and conduct professional outreach to validate whether a company or contact remains relevant to the intended business purpose.

Verification standards

We take reasonable steps to assess whether information is current, relevant, and suitable for a legitimate B2B purpose. This may include checking whether:

  • The organization is active and aligned with the relevant industry or assignment;
  • A professional remains associated with the identified organization;
  • The professional’s role is plausibly relevant to the stated business criteria;
  • A business contact channel appears to be associated with a professional capacity;
  • Information is consistent across reputable sources.

However, business information changes frequently. Bellmont&Co does not guarantee that every record is complete, current, deliverable, or suitable for every commercial purpose. Clients should independently validate information before relying on it for material commercial, legal, financial, employment, security, or procurement decisions.

4. Data Flow and Management

Bellmont&Co manages information through a controlled data lifecycle:

A. Collection

Information is collected only where it is relevant to a defined business-research purpose and where Bellmont&Co considers the collection method appropriate under applicable law.

B. Assessment and qualification

Records are reviewed against project criteria, which may include industry, location, business capability, organization size, seniority, department, or procurement relevance. Information that is clearly inaccurate, irrelevant, excessive, or unsuitable for the stated purpose should not be retained or delivered.

C. Storage and access

Information is stored in systems and workspaces intended for business research, client delivery, service administration, quality assurance, and compliance management. Access is restricted to personnel and service providers who need access to perform authorized duties.

D. Delivery to clients

Relevant records may be delivered through agreed formats, including secure files, client portals, reports, or other controlled business channels. Deliverables will be limited to the scope agreed with the client.

E. Correction, suppression, and deletion

Where Bellmont&Co identifies that information is inaccurate, outdated, no longer necessary, or subject to a valid objection, opt-out, deletion request, or legal restriction, we will take appropriate steps to correct, suppress, restrict, or delete the relevant record, subject to applicable legal obligations.

F. Retention

We retain information only for as long as reasonably necessary for the purposes described in this Policy, including data quality, contractual performance, legal compliance, dispute resolution, and enforcement of agreements. Retention periods may vary according to the category of information, applicable law, contractual requirements, and whether a valid suppression request has been received.

Suppression records may be retained where necessary to ensure that an individual or organization is not contacted or reintroduced into future datasets contrary to their request.

5. Privacy Principles

Bellmont&Co seeks to apply the following principles to its processing of business information:

  • Purpose limitation: We process information for defined, legitimate B2B research, intermediary, and business-development purposes.
  • Data minimization: We aim to collect and disclose only information that is relevant to the requested business objective.
  • Accuracy: We use reasonable measures to maintain accurate and current information but recognize that data may change over time.
  • Transparency: We provide information about our practices and will respond to valid privacy-related requests in accordance with applicable law.
  • Security: We use reasonable administrative, technical, and organizational safeguards designed to protect information from unauthorized access, loss, misuse, or disclosure.
  • Respect for choice: We honor valid requests to access, correct, object to, opt out of, restrict, or delete personal information where required by applicable law.

Where applicable privacy law requires a legal basis for processing, Bellmont&Co may rely on one or more appropriate bases, including legitimate interests in conducting and supporting relevant B2B research and commercial engagement, performance of a contract, compliance with legal obligations, consent where required, or another basis permitted by applicable law.

6. International Processing and Transfers

Bellmont&Co operates with a transatlantic focus. Information may be accessed, processed, or stored in the United States, the United Kingdom, the European Economic Area, or other locations where Bellmont&Co, its personnel, clients, or authorized service providers operate.

When transferring personal information across borders, Bellmont&Co will take measures reasonably appropriate to the circumstances and applicable law. These measures may include contractual safeguards, transfer assessments, organizational controls, or other legally recognized transfer mechanisms where required.

7. Your Privacy Rights and Choices

Depending on your location and applicable law, you may have the right to request:

  • Confirmation of whether Bellmont&Co processes your personal information;
  • Access to the personal information we hold about you;
  • Correction of inaccurate or incomplete information;
  • Deletion of personal information;
  • Restriction of certain processing;
  • Objection to processing based on legitimate interests or direct-marketing purposes;
  • Withdrawal of consent, where processing is based on consent;
  • Information about the source of information, where legally required;
  • A copy of information in a portable format, where applicable.

To make a request, contact us at info@bellmont.co with the subject line “Privacy Request.” Please provide sufficient information for us to verify your identity and locate the relevant record. We may request reasonable verification information before responding, and we may retain limited information necessary to document and honor your request.

8. Best Practices for Clients Using the Database

The Decision-Maker Database is intended for responsible, targeted B2B use. Clients must use it professionally, lawfully, and in accordance with all applicable privacy, marketing, communications, anti-spam, anti-bribery, export-control, competition, and industry-specific requirements.

Clients must:

  1. Use the database only for legitimate business purposes.
    Information must be used only to assess potential business relationships, conduct appropriate research, or make relevant, proportionate professional contact.
  2. Use targeted and relevant outreach.
    Communications should be tailored to the recipient’s professional role and should provide a clear, genuine business reason for contact.
  3. Comply with applicable communications rules.
    Clients are solely responsible for complying with laws and regulations governing email, telephone, electronic marketing, direct marketing, and commercial communications in each relevant jurisdiction.
  4. Honor objections and opt-outs promptly.
    If a contact asks not to receive communications, the client must promptly stop the relevant outreach and maintain appropriate suppression records.
  5. Maintain appropriate security.
    Clients must protect database records against unauthorized access, copying, disclosure, loss, or misuse. Access should be limited to authorized personnel with a legitimate business need.
  6. Verify before making significant decisions.
    Database information is a research resource, not a substitute for due diligence. Clients must independently verify material information before making contractual, financial, employment, procurement, compliance, or strategic decisions.
  7. Avoid sensitive, intrusive, or unlawful use.
    Clients must not use the database to discriminate unlawfully, harass individuals, conduct surveillance, create consumer profiles, make automated high-impact decisions, or target individuals in ways prohibited by law.

9. Prohibited Uses

Unless expressly authorized in writing by Bellmont&Co, clients and users may not:

  • Sell, rent, sublicense, publish, redistribute, or make database content available to third parties;
  • Copy, scrape, harvest, reverse engineer, or systematically extract substantial portions of the database;
  • Use the database to create, train, enrich, or resell a competing database, data product, or artificial-intelligence system;
  • Send deceptive, fraudulent, abusive, unlawful, or misleading communications;
  • Use the database for mass unsolicited communications, indiscriminate outreach, or high-volume campaigns that disregard relevance and recipient choice;
  • Use personal information for consumer marketing, political campaigning, credit evaluation, insurance decisions, employment screening, or other purposes not expressly approved in writing;
  • Circumvent security controls, access restrictions, or contractual limitations;
  • Represent Bellmont&Co as endorsing, sponsoring, or approving the client’s communications or products without prior written permission.

Bellmont&Co may suspend access, require deletion, or terminate services where it reasonably believes that the database is being used unlawfully, irresponsibly, or in breach of this Policy or the applicable agreement.

10. Intellectual Property and Database Rights

The structure, selection, organization, research methodology, compilation, presentation, and proprietary elements of the Decision-Maker Database are protected by applicable intellectual-property, database, confidentiality, and unfair-competition laws.

Subject to payment and the applicable service agreement, Bellmont&Co grants clients a limited, non-exclusive, non-transferable, non-sublicensable right to use the delivered database content solely for the agreed internal business purpose and during the agreed usage period.

No ownership of Bellmont&Co’s database, methodology, source materials, systems, or intellectual property is transferred to a client unless expressly stated in a written agreement signed by Bellmont&Co.

11. Data Accuracy, Service Limitations, and Disclaimer

Bellmont&Co applies reasonable professional effort to source and verify information. Nevertheless:

  • Information may become outdated after collection or delivery;
  • Professional roles, employer relationships, business email addresses, and company circumstances can change without notice;
  • Public sources and third-party sources may contain errors, omissions, or inconsistencies;
  • The availability of a record does not establish a person’s authority, interest, willingness to engage, legal eligibility, or suitability for a transaction;
  • Bellmont&Co does not guarantee response rates, meetings, contracts, revenue, procurement outcomes, or any specific commercial result.

To the maximum extent permitted by applicable law, the Decision-Maker Database is provided on an “as available” and “as is” basis, except to the extent expressly stated otherwise in a written agreement.

12. Confidentiality and Security

Bellmont&Co expects both its personnel and clients to treat non-public deliverables and business information as confidential. Appropriate safeguards may include access controls, role-based permissions, authentication measures, secure transfer methods, staff confidentiality obligations, and procedures for identifying and addressing suspected security incidents.

No security measure can eliminate all risk. If Bellmont&Co becomes aware of a personal-data incident that requires notification under applicable law, we will assess the incident and take appropriate action consistent with our legal obligations.

13. Third Parties and Service Providers

Bellmont&Co may engage carefully selected service providers to support secure hosting, communications, research operations, customer administration, analytics, legal compliance, or other operational functions. Service providers may process information only as authorized and subject to appropriate confidentiality, security, and contractual obligations.

Bellmont&Co does not authorize third parties to use personal information for their own independent purposes except where required or permitted by law, authorized by the relevant individual, or clearly disclosed otherwise.

14. Changes to This Policy

Bellmont&Co may update this Policy from time to time to reflect changes in our services, practices, legal obligations, or operational requirements. The updated version will be posted on our website with a revised “Last updated” date.

Material changes may be communicated by an additional method where required by applicable law or where reasonably appropriate.
